Step 1: check whether it is really fake

Before deciding how to respond to a fake Google review, make sure it is one. Many reviews that feel unfair are genuine accounts of a bad visit, and treating a real customer as a liar in public is the worst possible reply. Look for evidence, not a feeling.

  • Records: search invoices, bookings, orders or appointments for the name, date and details mentioned.
  • Details: a fake review often describes things your store does not sell or a layout that does not exist.
  • The reviewer's profile: other reviews of competitors, many reviews in a short period, or reviews of businesses in distant cities on the same day.
  • Timing: several similar negative reviews in a day or two, especially from new accounts, mentioning the same thing.
  • Relationships: a former employee, a competitor or someone in a dispute with you. Google's policy treats reviews based on conflicts of interest as not allowed.

Step 2: reply calmly

Even if you report the review, reply to it. Reporting can take days and may not succeed, and in the meantime the review is public. Your reply is what other customers will judge you by. Keep it short, factual and polite, and never accuse the reviewer of lying.

Hello, thank you for your review. We take every comment seriously, but we can't find a visit, order or booking that matches this description. If you did visit us, please write to [store email] with the date and any details so we can look into it. – [Name], Store Manager

What to leave out

Do not reveal anything about anyone, including what you found in your records. Google's tips warn never to share a reviewer's private information, and its content policy covers personal information shared without consent.

Step 3: report it under the right policy

Google removes reviews only when they break its policies; disagreeing with a review is not a reason. Choose the policy that fits: fake engagement (not a genuine experience), conflict of interest, off-topic, harassment, offensive content, personal information, impersonation, or repetitive content. Report the review from your Business Profile or through the Reviews Management Tool, and keep notes on your evidence.

If Google finds no violation, you can make a one-time appeal of up to 10 reviews from the same tool. Use it for your strongest cases.

If the reviews come with a demand

Google describes a scam in which a business suddenly receives a burst of one- and two-star reviews, followed by a demand for money, goods or services to remove them. Google advises not to pay or engage, noting that paying can invite more demands and does not guarantee removal.

  1. Save screenshots of the demand, with dates, times and the sender's contact details.
  2. Save direct links to the suspicious reviews.
  3. Note when the spike started and when the demand arrived.
  4. Report it through Google's extortion form, which is separate from normal review reporting.

What not to do

  • Do not reply with anger, sarcasm or accusations. Readers side with the person who stays calm.
  • Do not ask friends, staff or family to post positive reviews to balance it out. That is fake engagement and puts genuine reviews at risk.
  • Do not post reviews on a competitor's profile in return. Google's policy prohibits content posted to undermine a competitor.
  • Do not report every negative review. Reporting genuine reviews wastes your one-time appeal and changes nothing.

Across many stores

In a large network, fake reviews rarely hit one store in isolation. A central team should see every cluster of new low ratings across stores, keep the evidence in one place and file reports consistently. Compare the wording and timing of suspicious reviews across stores; the same accounts may be targeting several of them.

Signs a harsh review is probably genuine

Treat a review as genuine unless you have evidence otherwise. These signs usually point to a real customer, however unfair the review feels.

  • It describes specific, plausible details: a product you sell, a staff member's role, a time of day when you are busy.
  • The reviewer has a history of reviewing a range of local places over time.
  • Other reviews from the same period mention the same problem.
  • It matches something in your records, even if the customer's account differs from your staff's.

For these, the right response is the method for negative reviews, not a report.

How to respond to negative reviews

Keep an evidence log

When you suspect a review is fake, record what you found before anything changes. Reviews can be edited or deleted by their authors, and a clear log makes reports and appeals easier.

  • A screenshot of the review with the date, and its link.
  • The reviewer's public profile at the time, with links to any related reviews.
  • What you checked: invoices, bookings, CCTV logs, staff rotas, and what you found or did not find.
  • Any related contact, such as messages or calls around the same time.
  • Each report and appeal you filed, the date and Google's response.

Doing this with Falcon

Falcon classifies every public Google Maps review for each store, so an unusual cluster of similar complaints at one location stands out against that store's normal pattern. In Falcon's CRM, the review can be assigned, given private notes with the evidence, escalated and tracked as a ticket. Reports and appeals are filed in Google's own tools.
