What the examples have in common

These examples of Google review responses follow the same few principles, drawn from Google's own advice to businesses: reply to positive and negative reviews, make replies relevant rather than generic, keep them conversational rather than promotional, apologise where appropriate and never share a reviewer's private information.

Tips to get more reviews (Google Business Profile Help)

Five stars

Review: "Amazing service from Rohit, helped us pick the perfect watch for my father's 60th." Reply: "Thank you! A 60th birthday gift is a big decision, and Rohit will be delighted you mentioned him. We hope your father loves it. – Neha, Store Manager"

Why it works: names the occasion and the staff member the customer named, and stops there.

Four stars

Review: "Good collection, helpful staff. Only wish the store opened earlier." Reply: "Thank you! We're glad the team and the collection hit the mark. Our hours are 11 am to 9 pm; we'll pass on the request for earlier opening. – The [store] team"

Why it works: four-star reviews often contain the one thing that would make it five. Acknowledging it shows you read to the end.

Three stars

Review: "Nice store but had to wait 20 minutes for someone to show us the bangles." Reply: "Thank you for the honest review. Twenty minutes is too long to wait for help, and we're sorry. We're adding staff on the floor at weekends. We'd love to show you the bangles properly next time. – Arjun, Store Manager"

Why it works: treats the complaint seriously even though the overall rating is middling.

Two stars

Review: "Ordered a cake for pickup, wasn't ready, staff unbothered." Reply: "We're sorry. A cake not ready at the promised time, and no help when you asked, isn't acceptable. Please write to [store email] with your order details so I can look into it and put it right. – Farah, Store Manager"

One star

Review: "Worst experience. Rude manager, refused to exchange a damaged item." Reply: "We're sorry to read this. A damaged item should be exchanged, and you should have been treated with respect. Please contact [store email] and mention this review; our area manager will call you personally. – [Name], Area Manager"

Why it works: does not argue, does not name the manager, escalates visibly and moves the details offline.

How to respond to negative google reviews with examples

Rating only, no text

Five stars, no text. Reply: "Thank you for the five stars! We're glad you enjoyed your visit. – The [store] team"
One star, no text. Reply: "We're sorry to see this rating. We'd like to understand what went wrong: please write to [store email] when you have a moment. – The [store] team"

Reviews in other languages

Review: "Staff bahut acche the, par billing mein bahut time laga." Reply: "Dhanyavaad! Humein khushi hai ki staff ne aapki madad ki. Billing mein der ke liye maafi chahte hain; weekend par hum ek aur counter khol rahe hain. – [Name], Store Manager"

Reply in the reviewer's language and script where your team can write it naturally. A clear reply in English is better than a poor translation.

Replies to avoid

  • "Thank you for your valuable feedback." Under every review.
  • "We are sorry for any inconvenience caused." Says nothing about the actual problem.
  • "Visit us again and use code THANKS10!" Promotional, which Google advises against.
  • "According to our records you bought..." Shares private information.
  • "That is not what happened." An argument in public.

Common questions

Do I need to reply to every review?

Aim to reply to every review with text, and to every negative review. Short replies to rating-only reviews are optional.

Should the reply be signed?

A first name and role makes the reply feel owned. Google shows it as coming from the business.

How long should a reply be?

Two to five sentences. Longer replies to negative reviews tend to read as defensive.

Can I edit a reply later?

Yes. Google lets you edit or delete replies, which is useful when you have resolved the problem.

Doing this with Falcon

Falcon's CRM is where a team handles replies across stores. For each review it suggests an owner from your taxonomy, drafts a reply from the playbook for the review's theme and sentiment, and checks the draft before it is saved: is it long enough to sound personal, does it contain a phone number or email, does it promise compensation that needs a manager's approval, and does it fit the channel's length. Reviews can be assigned, escalated and tracked to done. The reply itself is posted in Google Business Profile.
